Job Description:
Library Administrative Assistant (full time, 12 months)

  • Manage the library purchasing process
    • Enter library requisitions on the MUNIS purchase order system. Track orders to ensure receipt of products/services, and payment of invoices.
    • Contact vendors regarding information about products, services, orders pending, erroneous invoices, etc.
    • Monitor library budget amounts. Advise Library Department Chair of low budget levels and request account transfers from Central Office when necessary
    • Renew library memberships by contacting vendors and submitting signed Direct Pay Requests
  • Perform activities related to acquired books, DVDs and electronic materials
    • Import new eBooks and audiobooks by downloading Marc records
    • Assign classification numbers and subjects for new materials and enter in catalog
    • Enter websites into Destiny circulation system
  • Generate monthly circulation statistics
    • Run reports detailing checkouts of library materials and usage for each database vendor
    • Enter circulation data for print and electronic resources/databases in Google Drive
  • Circulation Desk duties
    • Manage the circulation desk 6 or more hours per week
      • Control circulation of library materials
      • Assist with questions regarding location of research materials, computer problems, copy machine questions and student printing issues, as well as serving as backup
staff member for parent volunteer questions
  • Work closely with circulation desk secretary to help fulfill faculty requests regarding library resources needed for projects
  • Manage Data Privacy Agreements
    • Update each database vendor’s contract with revised dates annually and send, with cover letter, to company for signature
    • Continually follow up with representatives until receiving signed agreements
  • Assist in annual budget development
    • Provide prior year’s purchasing data to Library Department Chair
    • Enter new budget requests on NCPS forms
  • Additional tasks
    • Liaison to Tech Support for resolution of catalog/circulation system problems
    • Create resource lists for projects and place orders
    • Make adjustments for holidays, vacations and ceiling dates on Destiny circulation system
    • Assist librarians with special projects
