Qualifications:
High school diploma required. Three years’ experience supporting a high-level administrative position. College degree preferred.
 
Job Brief:
 
ACES Secretary to the Executive Director will be responsible for supporting the Executive Director and the Board of Governors. This position assists with the Board meeting communications including, posting required public notices, meeting minutes, and agenda materials. The candidate should be organized, an excellent communicator, demonstrate a high level of experience handling multiple priorities and confidential matters. Must be flexible and be able to anticipate the needs of the Executive Director while working collaboratively with a variety of stakeholders. 
Duties and responsibilities:
 
  • Performs a variety of administrative and executive support tasks which may be highly
    confidential and sensitive.
  • Composes, organizes, and arranges for preparation of reports, letters, memorandums,
    documents, and projects for the purpose of communicating information to the Board of Governors, district personnel, the public, state officials, etc.
  • Establishes and maintains positive and service-oriented public image
  • Attends Board meetings; and assists in preparation of agendas and
    supporting materials; records and documents actions; prepares, reviews and distributes minutes;
    maintains official record of Board minutes.
  • Assists Superintendent, Board members, and other key administrative staff in supporting district-wide activities.
  • Maintains official records for the Superintendent and the Board.
  • Keeps Superintendent apprised of all matters relating to effective administration/management
  • Responds to a wide variety of calls, concerns for the purpose of resolving
       problems, providing information and/or referring to appropriate personnel.
  • Orders and maintains department supplies.
  • Assists with the facilitation and coordination of schedules and activities emanating from the
Superintendent’s office and other departments.
  • Performs other job-related duties as may be assigned.
Knowledge of:
  • Knowledge standard office equipment, computer applications, of basic budgeting, financial and statistical record keeping.
  • Ability to interpret and apply district policies; assess priority situations and implement
appropriate activities without direction.
 
Skills in:
 
  • Skills to effectively organize; make decisions; function effectively in high-pressure
situations;
  • To operate technology:  MS Office applications, and telecommunications (e-mail, intra/internet, etc.).
  • To independently compose and edit letters, and reports.
  • To establish and maintain cooperative working relationships; respect and protect all confidential information.
