POSITION TITLE: SCHOOL COUNSELING ADMINISTRATIVE ASSISTANT – BRISTOL CENTRAL HIGH SCHOOL
DEPARTMENT: BCHS SECRETARIAL-CLASS B
REPORTS TO: BUILDING ADMINISTRATORS/COUNSELORS/ADMINISTRATIVE SECRETARY
SUMMARY: Responsible for secretarial duties associated with the guidance/school counseling department.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.
SUPERVISORY RESPONSIBILITIES:
None.
QUALIFICATION REQUIREMENTS: TO PERFORM THIS JOB SUCCESSFULLY, AN INDIVIDUAL MUST BE ABLE TO PERFORM EACH ESSENTIAL DUTY SATISFACTORILY. THE REQUIREMENTS LISTED BELOW ARE REPRESENTATIVE OF THE KNOWLEDGE, SKILL AND/OR ABILITY REQUIRED. REASONABLE ACCOMMODATIONS MAY BE MADE TO ENABLE INDIVIDUALS WITH DISABILITIES TO PERFORM THE ESSENTIAL FUNCTIONS.
EDUCATION AND/OR EXPERIENCE:
High School Diploma or General Education Degree (GED) preferred. Previous office experience desirable.
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with parents, staff and students.
MATHEMATICAL SKILLS:
Ability to work with mathematical concepts appropriate to the position.
COMPUTER SKILLS:
Basic knowledge and experience with job related computer hardware and software applications. Demonstrated ability to operate a personal computer and related software.

- Knowledge of and operation of office equipment.
- Maintain office files.
- Assist in the preparation of reports.
- Maintain confidentiality of student and staff records.
- Respond to inquiries from students, staff and the general public.
- Complete counselor correspondence and appointments.
- Update PowerSchool files as required.
- Receive and respond to telephone calls from parents.
- Prepare current and former student transcripts and forward as necessary.
- Perform receptionist duties.
- Prepare and process mailings to parents.
- Test data on permanent records and file in student cumulative files.
- Update permanent record files.
- Assist supervisors in preparing department budget.
- Complete supply orders.
- Perform other duties as assigned by the supervisors.
- Schedule enrollments, obtain required registration papers and Sped records, and begin registration.
- Withdrawals/send records.
- Schedule college visits with Admissions counselors; post for students; organize meetings in School Counseling Lab.
- Graduation verifications.
- Liaison between senior graduating class and scholarship committees.
- Schedule scholarship deadlines, process applications and submit for seniors; prepare scholarship portion of Awards Night.
