Job Description:

This position will be responsible for the following duties.  This is not illustrative of all duties.  
Administrative Support:
  •   Perform general office duties, including managing phone calls, emails, and mail correspondence.
  •   Maintain and organize department files, records, and databases.
  •   Schedule appointments and meetings, prepare agendas, and take minutes. 
Business Office Support:
  • Assist in maintaining financial records.
  • Support the preparation and distribution of financial reports.
    Registration Support:
    • Support the student registration process, including verifying documents and updating records.
    • Assist families with enrollment procedures and guide them through the application process.
Special Education Office Support:
  • Assist in managing IEP documentation and ensure compliance with regulations.
  • Schedule and coordinate meetings with parents, teachers, and specialists.
  • Provide logistical support for special education programs and events.
Communication & Coordination:
  •    Serve as a point of contact for staff, parents, and external stakeholders.
  •    Handle sensitive information with discretion and confidentiality.
  •    Foster positive relationships and maintain clear communication among different departments.
  • All other duties as assigned by the Assistant Superintendent of Student and Staff Services, Chief Operating Officer or designee.

  • Excellent written and verbal communication and interpersonal skills. Ability to work well with colleagues, parents and the general public.
  • Ability to identify, prioritize, and complete multiple projects on-time and within required rules and regulations
  • Ability to succeed in a fast-paced environment while managing multiple priorities and simultaneously with minimum direction
  • Ability to manage the budget for the Office of the Assistant Superintendent(s)
  • Ability to manage and support district professional development system
  • Demonstrated proficiency using Microsoft Office Suite (including Access), Google Office Suite, ALIO, and PowerSchool software and willingness to learn and increase proficiency in necessary software systems, in accordance with job demands.
  • Proficiency with email software packages including creating contacts, groups, and calendar entries
  • Ability to function effectively with minimal supervision (Self-directed, organized, and detail-oriented).
  • Ability to research web and print materials.
Qualification Requirements:
  • High School diploma or GED required; Associate’s degree preferred.
  • Proven experience in an administrative or secretarial role, preferably within an educational environment.
  • Proficiency in Microsoft Office Suite and familiarity with office management systems.
  • Strong communication and interpersonal skills.
  • Exceptional organizational abilities and attention to detail.
  • Ability to work independently and handle multiple tasks efficiently.
  • Demonstrated success working in a time-sensitive environment requiring minimal direction.
Compensation:
  • The salary for this position is determined in accordance with the provisions of the current Stratford Association of Educational Secretaries contract.
  • Full-Year, 12-month position.
  • Grade 12; 1.0 FTE
