Job Title: Human Resources Secretary
 
Supervisor: Director of Human Resources
 
Purpose: Supports and complements the goals and vision of the Board of Education by performing accurate and efficient Human Resources functions in a timely manner.
 
Scope:
 
The Human Resources Secretary serves as the first point of contact for employees and visitors, providing exceptional customer service and administrative support within the HR department. 
 
Responsibilities:
  • Greet and welcome visitors, employees, and candidates with a professional demeanor.
  • Maintain the reception area, ensuring it is tidy and welcoming.
  • Maintain inventory of department supplies, i.e., forms, office supplies, etc.
  • Manage telephone contacts including, but not limited to, screening, responding to, and directing calls as necessary, timely voicemail responses and forwarding of messages accordingly.
  • Identify, execute and manage deadlines, action items, and related schedules which ensure timely processing of required actions.
  • Communicate effectively with all organizational levels through proven oral/written communication skills.
  • Facilitate communication between HR and other departments, addressing basic inquiries and escalating more complex issues as needed.
  • Coordinate meetings and multiple electronic calendars.
  • Perform word processing, faxing, proofreading and photocopying.
  • Sort and process regular and overnight mail on a daily basis.
  • Compose professional correspondence, including, but not limited to, responding to questions and requests for information.
  • Maintain a positive interface with the public, staff and administration.
  • Perform PC, printer, fax machine and copier hardware and software troubleshooting.
  • Conduct independent research related to the Human Resources Department in a timely manner.
  • Create and maintain personnel and department files in accordance with municipality guidelines and retention requirements.
  • Process volunteer applications and maintain volunteer files.
  • Generate employee badges.
  • Support the planning and execution of HR events, such as training sessions, workshops, and team-building activities, etc.
  • Support department staff during times of leave or busy times.
  • Perform other projects and duties/responsibilities as necessary and as required or requested by the Superintendent, Human Resources Director or designee.
 
Qualification Requirements:
  • High school diploma or equivalent; an associate degree in HR or related field is a plus.
  • Previous experience in a receptionist or administrative support role, preferably in HR.
  • Knowledge of and ability to use social media.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Proficiency technology platforms including Microsoft Office Suite and Google Suite.
  • Ability to maintain confidentiality and handle sensitive information.
 
Compensation:
  • Starting rate is $23.00 per hour; position includes benefits, vacation and holidays.
  • Non-Union; non-exempt position
  • Full-time; Full-year
