Position:   Accounts Payable/Payroll Manager
JOB DESCRIPTION
Qualifications: 
  • Minimum of high school diploma
  • Able to work cooperatively and supportively as a team member with central office and building staff. 
  • Possess an academic and experiential background in business administration or have skills that support the job description.
  • Exhibit competency in computers and their business applications.
General Responsibilities:  Support the educational programs of the district by providing an efficient, productive, and cost effective business management system.  In this staff position, the Accounts Payable/Payroll Manager will provide assistance to the Superintendent in the areas of fiscal management, business affairs, data processing, maintenance, transportation, and food services.
  1. Assist as needed in the preparation of the budget for the fiscal year and administer a budget control program.
  2. Act as an advisor to the superintendent on questions relating to the district’s business and financial affairs.
  3. Assist in the management of the financial affairs of the school.
  4. Assist in supervising all accounting and computer operations.
  5. Understand the payroll, accounts payable and general ledger system and is able to operate the above.
  6. Provide to the superintendent a monthly report on the condition of the budget.
  7. Seek economy measures to maximize the district’s financial resources.
  8. Assist in the coordination and supervision of the fiscal services of operation for maintenance of building and grounds, transportation, purchasing, clerical, secretarial, instructional assistance, benefits administration, food service and other related fiscal services.
  9. Complete state reporting requirements including the preparation and filing of the Cash Management Report, ED111.
  10. Maintain and balance separate checkbooks and ledgers for the Board of Education budget, Federal and State grants, School Lunch Program, including payment of invoices, payrolls and reports.
  11. Coordinate and process purchase orders, and maintain records for such.
  12. Perform payroll functions for school system employees on a biweekly basis, including maintaining employee time cards, payroll records, processing checks and payroll deductions, and filing appropriate quarterly returns.
  13. Prepare and distribute monthly financial statement for the Board of Education budget.
  14. Act as liaison between town treasurer and school, balancing budgets and communicating on a regular basis to ensure smooth fiscal management and prompt alleviation of potential problems.
  15. Prepare invoices for Board of Education review of bills.  Maintain files of properly coded and paid invoices for all budgets.  Have checks signed by town treasurer and Board of Education secretary.
  16. Maintain grant files such as purchase orders, paid invoices and ledger sheets.
  17. Prepare for all audits of budgets and grants.
  18. Perform related duties as may be assigned by the superintendent of schools.
This position is full-time (40 hours/week) for the full year (52 weeks).
Wage Range: $22.33 - $24.02/hr
